What data we collect

Through the request-for-quotation (RFQ) form and the contact form we collect the following data:

  • first and last name
  • company name
  • e-mail address
  • telephone number
  • country
  • message content

Independently of the data provided in the form, technical data may be processed in connection with the use of the website:

  • IP address
  • browser and device data
  • server logs (information about requests and access times)

The website does not carry out online sales (no shopping cart, no payments and no conclusion of sales contracts via the site) and does not collect data for marketing or newsletter purposes.

Purposes and legal bases of processing

We process personal data for the following purposes and on the following GDPR legal bases:

  • Handling of requests for quotation and contact — taking steps at the request of the data subject prior to entering into a contract, and the legitimate interest of the controller in conducting correspondence and responding to enquiries (Article 6(1)(b) and (f) GDPR).
  • Website security and protection against spam — operation of the hCaptcha anti-spam mechanism based on the legitimate interest of the controller in ensuring the security and proper functioning of the forms (Article 6(1)(f) GDPR).
  • Analytics after consent — measuring traffic and how the website is used (Google Analytics 4, Google Tag Manager) only after consent is given in the cookie banner (Article 6(1)(a) GDPR).

The analytics tools are activated only after consent has been given. Consent may be withdrawn at any time, which does not affect the lawfulness of processing carried out before its withdrawal.

Data recipients

In connection with operating the website and handling enquiries, data may be transferred to the following categories of recipients acting as service providers:

  • the website hosting provider — [NAME TO BE COMPLETED]
  • Google Workspace — e-mail handling (Google Ireland Limited / Google LLC, USA)
  • hCaptcha — form anti-spam mechanism (Intuition Machines, Inc., USA)
  • Google — Google Fonts, Google Analytics 4 and Google Tag Manager services (Google LLC, USA)

These providers process data only to the extent necessary to provide their services. Data may also be made available to public authorities where such an obligation arises from the law.

Transfers of data outside the EEA

The use of Google tools (Google Fonts, Google Analytics 4, Google Tag Manager) and hCaptcha may involve the transfer of personal data to the United States (USA), i.e. outside the European Economic Area (EEA).

Such transfers take place on the basis of the standard contractual clauses (SCC) approved by the European Commission and, where applicable, under the Data Privacy Framework (the EU–US data protection framework).

These mechanisms are intended to ensure an adequate level of protection for the transferred data. Further information can be obtained by contacting the controller.

Data retention period

We retain personal data no longer than is necessary for the purposes for which it was collected:

  • data from enquiries and correspondence — for the duration of handling the matter and until the limitation period for any claims has expired
  • data whose retention is required by law (e.g. tax or accounting law) — for the period required by those provisions

Specific retention periods arising from legal provisions: [TO BE COMPLETED].

After these periods, the data is deleted or anonymised.

Rights of the data subject

In connection with the processing of personal data, you have the following rights:

  • the right of access to your data
  • the right to rectification (correction) of data
  • the right to erasure of data
  • the right to restriction of processing
  • the right to object to processing
  • the right to data portability
  • the right to withdraw consent at any time (to the extent that processing is based on consent), without affecting the lawfulness of processing carried out before the withdrawal of consent

To exercise the above rights, please contact the controller.

You also have the right to lodge a complaint with the supervisory authority — the President of the Personal Data Protection Office (UODO), ul. Stawki 2, 00-193 Warsaw, Poland.

Voluntary provision of data

Providing data in the request-for-quotation or contact form is voluntary, but necessary in order to handle the enquiry and provide a response. Failure to provide the required data may make it impossible for us to consider the enquiry or to contact you back.

Cookies and analytics

The website uses cookies and similar technologies. Analytics tools (Google Analytics 4 and Google Tag Manager) are loaded only after consent is given in the cookie banner (Google Consent Mode v2, default state "denied"). Your choice is saved in the browser's storage under the key "vc-consent".

Detailed information about the types of cookies, their purposes and how to manage consent can be found in the Cookies Policy, available at /polityka-cookies.

For matters concerning the protection of personal data, please contact us at the e-mail address: biuro@veronicacollection.com or by post at the controller's registered office address.
